Job Summary:

The Data Entry Operator 2 for Vital Records/DAVE is responsible for performing a variety of data entry, scanning, indexing, and customer service tasks related to electronic records and vital statistics. This role involves handling death certificate orders, managing mail, and maintaining accurate tracking logs. The position requires strong organizational skills, attention to detail, and the ability to work independently within a health and human resources department.

Responsibilities:

• Scan, index, and attach files to electronic records accurately.
• Print certificates from electronic records as required.
• Enter daily totals into tracking logs and maintain data accuracy.
• Process online death certificate orders efficiently and timely.
• Open, sort, and manage incoming mail related to vital records.
• Perform data entry of application requests received via mail or online.
• Provide strong customer service support related to vital records inquiries.
• Work independently and proactively identify and resolve issues.

Required Skills & Certifications:

• Strong customer service skills.
• Excellent organizational skills and attention to detail.
• High school diploma or equivalent minimum education.
• Entry-level experience in data entry or related administrative tasks.
• Completion and upload of all required credentials prior to first day.
• eVerify completion and upload by the third day of contract.

Preferred Skills & Certifications:

• Experience with electronic record management systems.
• Familiarity with vital records or health department processes.
• Ability to work with scanning and indexing software.

Special Considerations:

• 100% onsite work required for the first 6 months at 220 Capitol St., Augusta, ME.
• After 6 months, 2 remote days per week allowed.
• Candidates must live within an hour radius of Augusta, ME.
• Strict submission requirements for interview documentation including a current screenshot photo uploaded as a PDF.
• No sub-vendors allowed for this position.
• Compliance with all state-required credentials and background checks.

Scheduling:

• Full-time position, 40 hours per week.
• Standard daytime work schedule aligned with department hours.
